Managing multiple event registrations can be time-consuming and complex. With our hub, we provide your attendees with a centralized platform that consolidates all event details, giving your attendees a more structured and efficient way to manage registrations.

One login, all event registrations in one place

With a single login, attendees can easily access a personalized dashboard that consolidates all their upcoming and past events. This seamless overview simplifies event management by eliminating the need to search through multiple emails or documents. Whether managing their own participation or handling registrations for others, everything is in one place.

Manage personal and delegated registrations

The hub allows your attendees to easily manage both their own registrations and any registrations they’ve completed on behalf of others.

  • Personal registrations: Attendees can view and manage all their event registrations, access event details, and update their information when needed.

  • Delegated registrations: If someone registers on behalf of others (e.g., team members, colleagues, or guests), the hub provides a structured overview of all participants they’ve enrolled. They can access attendee-specific hubs for each participant, ensuring efficient management of registrations and updates.

How it works - login & account creation flow for attendees

A login and account creation option is prominently displayed on the event's homepage and on the confirmation page after an attendee completes a registration.

While attendees are encouraged to log in or create an account to access their hub and link all registrations under a single account, this step is not required before registering. They still have the option to create an account later from the confirmation page or at any time through the confirmation email received after registering.

Once an account is created, attendees will receive a validation email. After confirming their account, they will gain full access to their hub, where they can:

  • View all their registered events.
  • Manage their own and delegated participant registrations.
  • Keep all event details organized in one place.

This unified view simplifies event management by eliminating the need to sift through multiple emails or documents, making it easier for attendees to track their registrations.

How to configure hub settings for attendee registration management

Within your profile settings, you'll find a new section to configure your default hub settings. This allows you to customize how attendees interact with the hub.

 

Go to Events module > Profiles > Event Settings > Basics.

You'll find a new section with three checkboxes:

  • Display “Go to the Attendee Hub” button in the confirmation email.

  • Display “Go to the Attendee Hub” button on the confirmation page.

  • Enable login & centralize registrations of hub

 

By default, your events will inherit these settings. However, they can be adjusted individually within each event to fit specific needs. To configure these settings for a specific event, navigate to: Registration > Settings.

Use cases: How attendees and administrators manage event registrations

The idloom hub is designed for different types of users, whether they’re managing their own participation or handling registrations on behalf of a group. Below are two common use cases that illustrate how the hub simplifies event registration management.

Use case 1: Attendee registers and manages only his own registrations

For attendees managing only their own participation, the hub provides a centralized space to access all event details. With one login, they can register for events, track their participation, and manage event documents from a single platform.

How it works:

  1. The attendee lands on the event page and begins registration.
  2. They can create an account before or after registering.
    • If they create an account first, their registration is automatically linked to their hub.
    • If they register first and create their account after registration, their registration will still be linked to their hub. 
  3. The attendee completes their registration.
  4. The system links the registration to their account, consolidating all event details in one place.
  5. A validation email is sent to confirm the newly created account.
  6. Once validated, the attendee gains full access to their hub, where they can:
    • View schedules, event details, and updates.
    • Download badges, e-tickets, invoices, and other event-related documents.
    • Track and update their registration details directly from their hub for an organized event experience.

Use case 2: Administrative responsible responsible to manage registrations on behalf of others

Not all attendees manage their own registrations. In many cases, an administrative responsible (such as a team manager, executive assistant, or HR coordinator) registers and oversees participants without attending the event themselves. The hub makes it easy to create an account, register multiple participants, and manage their attendance efficiently.

How it works:

  1. The administrative responsible lands on your event page and starts the registration process for their team.
  2. They create an account on your event page or log in if they already have one.
    • This can also be done later from the confirmation page.
  3. They register team members for the event on their behalf.
  4. The system links all registrations to the administrative responsible’s account, providing a dashboard with all participant details.
  5. The administrative responsible can access each attendee's individual hub, where they can:
    • View schedules, event details, and documents such as badges and e-tickets.
    • Modify participant details and update registrations directly from their account.

 

Please note: it is not mandatory to create an account before registering participants, as the login and account creation feature remains available on the confirmation page and in the confirmation email. This allows the chance to link their registrations after registering, enhancing their registration experience. 

The existing attendee hub experience remains unchanged

Attendees do not need to log in or create an account to access their personalized attendee hub. The new login and account creation feature is an optional feature for those who wish to centralize and manage multiple registrations more efficiently.
